Cave Country Chapter Traveling Flag Guidelines!

candy/TravelingFlag.jpg

  1. Any Cave Country Chapter member , with dues paid to date, will be eligible to check out the Cave Country Chapter traveling flag. Chapter membership card will need to be shown to obtain the flag.
  2. All request must be made to the Travel Flag Committee either in person, phone, letter or e-mail. The flag will be given out on a first come first served basis. The flag is not reserved until it is entered in the official logbook by a Travel Flag Committee member. If your ride is canceled please notify the Flag Committee.
  3. Any member checking out the flag must have a destination and date of flag pick up and resubmitted with their request. After arriving at the designated destination and receiving the rocker and taking a picture, the Travel Flag must be returned by mail to the committee as soon as possible (next business mail) so others who are waiting will have it readily available to them. The picture and a one paragraph report including names and mileage should be submitted when you return.
  4. Only one rocker per person per calendar year will be allowed so others can have a chance to participate and obtain a rocker from a different destination. (This does not apply for rockers collected on Sanctioned Chapter Rides.) If the flag is not going to be checked out by another Chapter member, for a specific date, you may be eligible to get a second rocker in the same calendar year, i. e. you may be able to request it be placed on standby if it is not reserved by someone else using it for their first rocker. The final decision will be made by Flag Committee.
  5. Only one rocker for each Chapter visited will be added to the Travel Flag. No one can add the same chapter rocker to the flag.
  6. At the end of each year, the mileage will be totaled and put on the Travel Flag to show how many miles the flag traveled. Also, the number showing how many Chapter members were involved in obtaining the rockers will be put on the Travel Flag. The number of members involved will include all that are listed on the form.
  7. Pictures (3 ½ X 5 or 4 X 6) taken of the Travel Flag and the Chapter members at their destination will be kept in a Chapter Photo Album to be organized by the Travel Flag Committee.
  8. The person acquiring a rocker for the Travel Flag will pay for the rocker obtained from the destination chapter. They will be responsible for the return postage from each respective destination, and if lost, the cost of replacing the flag. The Travel Flag committee will be responsible for application for each rocker onto the flag.
  9. The Cave Country Chapter will reimburse member the cost of a Chapter rocker to be given to the destination chapter.
  10. When taking the Chapter Flag, mileage must be calculated as Harley miles ridden one way, not trailer miles! Also, when doing a fly and ride, your mileage starts when you pick up the bike and ends at the destination where you pick up the rocker. Piggybacking with another member is permitted.
  11. Any Chapter member requesting the flag shall first contact the visiting Chapter to be sure they can obtain a rocker.
